VTLS Virtua : monograph invoices

To receive monographic invoices in the EDIFACT format for loading into your Virtua system, please take the following steps:

1.  Register for an FTP directory by filling out the HARRASSOWITZ FTP Service Request Form. Your invoices will be placed in this directory. You will receive a notification when the FTP directory has been set up.

In case we have already set up an FTP directory for Marc 21 records, it can be used

for EDIFACT invoices as well. In this case, please send an e-mail to service@harrassowitz.de requesting that HARRASSOWITZ initiate electronic invoicing for your library to load into your Virtua system.

We will be in touch if further information is needed, and then we will create an EDIFACT invoice using a recent invoice of yours that you can use for testing.

2.  Be sure that you have the vendor information record set up for HARRASSOWITZ in your Virtua system.

3.  The match point for processing our invoices into your Virtua system will be your purchase order numbers or the ISBNs. If you are getting Marc records as well, the additional match point could be the HARRASSOWITZ title ID.

4.  When an invoice is ready for your library to retrieve from your directory on the HARRASSOWITZ FTP site, we will send an e-mail to the contact person named in the FTP Service Request Form, advising that the invoice is available. We leave invoices in your FTP directory for six months, to allow sufficient time for you to load them at your convenience.

5.  If the test invoice was processed to your satisfaction, please let us know and we will start providing EDIFACT invoices routinely.
